Build your knowledge base in the Knowledge tab

Updated Wed Oct 28 2026 00:00:00 GMT+0000 (Coordinated Universal Time)

Everything your AI knows about your business lives in the Knowledge tab in the left sidebar: articles organized in folders, used by every AI agent you run and by the inbox's AI suggested replies. Write an article, or import your website and let Ody organize it — it's live the moment you save.

Before you start

  • You must be a workspace admin or owner to add, edit or delete knowledge. Every member can read it and search it.
  • Knowledge is shared by the whole workspace. If you run more than one AI agent (for example one per phone number), they all read from this one place — see Choose which AI uses an article to split it.

What you see

Click Knowledge in the left sidebar.

  • Left pane — the search box (Ask your knowledge…), All articles, then your folders. Click a folder to open it; click the small arrow to show its sub-folders. The number next to each folder is how many articles are directly inside. + New folder is at the bottom.
  • Right pane — the articles in the folder you picked (or all of them), newest first. Each row shows the article's type (a written article or an imported website), its size, its audience chip (Every AI or how many AIs you selected) and the Available to AI switch.
  • The count in the top-left (for example 12 live) is how many articles your AI can use right now.

Step-by-step: write an article

  1. Click Knowledge in the left sidebar, then open the folder you want the article in (or stay on All articles).
  2. Click New article in the top-right corner.
  3. Type a title — short and specific, like "Cancellation policy" or "Insurance we accept".
  4. Write the body. Markdown works: ## headings, - bullet lists, **bold**, links. Keep one topic per article; the counter under the editor shows how much of the 20,000-character limit you've used.
  5. On the right, leave Available to AI on and Who can read it set to Every AI unless you want to limit it — see Choose which AI uses an article.
  6. Pick a Folder if you started from All articles.
  7. Click Save. You'll see "Article saved — your AI is up to date".

To edit an article later, click its row, make your changes and click Save. Back returns to the list; if you have unsaved changes you'll be asked first.

Step-by-step: organize with folders

  1. Click + New folder at the bottom of the left pane (or, inside a folder, Folder settings → the folder is the parent).
  2. Give it a name and, optionally, a line describing what goes in it.
  3. Who can read what's inside — leave Every AI unless this folder is for one agent only.
  4. Click Create folder.

Folders nest up to three levels (for example Sales line → Promotions → Spring). To move an article into a folder, open it and change Folder in the right-hand card, then Save.

To rename a folder, change its audience or delete it, open the folder and click Folder settings. Deleting a folder does not delete its articles — they move up one level.

The Available to AI switch

Every article has a switch, both in the list and in the editor. Turn it off to hide the article from every AI without deleting it — useful for a seasonal promotion or a policy you're still drafting. Turn it back on and your AI uses it again immediately.

Search what your AI knows

Type a question into Ask your knowledge… (at least two characters). Ody searches the meaning of your articles, not just the words, and shows the passages that answer it with the article they come from. Use the As seen by pills above the results to see exactly what one agent — or AI suggested replies — would answer from. Click a result to open the article.

What the knowledge powers

  • Astra on calls — every AI agent answers questions about hours, services, pricing, policies and contact details only from the articles it can read, quoting numbers and prices as written.
  • AI suggested replies in the inbox — text drafts grounded in the same articles. See AI suggested replies.

If the answer isn't in your knowledge, Astra says it will have the team confirm and takes a message — it never invents facts.

Troubleshooting

  • An article doesn't show up in "As seen by" for an agent — check its Available to AI switch, its Who can read it setting, and the audience of every folder above it. A folder set to selected AIs hides everything inside from the others.
  • "Articles are limited to 20,000 characters" — split the article in two; shorter, focused articles also give better answers.
  • The count says fewer "live" than you have articles — articles switched off, or still being read (an import in progress), don't count.

Frequently asked questions

Do I need to publish Astra after editing knowledge?

No. An article is live for your AI the moment you save it — Ody updates every published agent automatically.

How many articles and folders can I have?

As many as you need. Each article holds up to 20,000 characters, and folders nest up to three levels deep.

Is the Knowledge tab on the iPhone and Android apps?

Not yet. The mobile apps still show knowledge as a flat list on the AI agent screen; everything you add there appears in the Knowledge tab on the web. Mobile web (app.ody.co on your phone) has the full Knowledge tab under More.

What happened to the knowledge base inside the AI agent tab?

It's still there and still works — it shows the same articles. The Knowledge tab is the new home with folders, the Available to AI switch and the per-agent audience; the AI agent tab shows a card that takes you there.
